Data Deletion

Overview
There are four ways to have Outermind delete data, depending on how much you want removed and who is asking. All four are available to you directly; none of them requires a support conversation first.

The four routes
Disconnect one integration
Who can do it: Any administrator in your Outermind organisation
How: Admin console, then the integration, then Disconnect.
What happens: The stored access and refresh tokens are cleared immediately and no further calls are made to that provider. Content already retrieved from it is deleted on the schedule below.
Timing: Immediate
Revoke access from the provider
Who can do it: Any administrator of the third party account
How: Remove the Outermind app in the provider, for example from the Zoom App Marketplace under Manage, then Added Apps.
What happens: The provider notifies us and we delete the connection and its stored content. This path does not require you to sign in to Outermind, and it completes even if the provider is unreachable afterwards.
Timing: On receipt of the provider notification, typically within minutes
Delete your whole account
Who can do it: An organisation owner
How: Admin console, then Account, then Delete account. You will be asked to confirm.
What happens: Every integration is disconnected, and all customer data held for your organisation is purged across databases, document storage, search indexes and agent memory.
Timing: Begins immediately, completes within 30 days
Ask us in writing
Who can do it: Anyone whose personal data we process, including people who are not Outermind users
How: Email legal@outermind.ai describing what you want deleted.
What happens: We verify the request, delete what we are able to delete, and tell you what we retained and why.

What deletion covers
When an organisation is deleted, the purge is not limited to the primary database. It covers relational records, document and file storage, search indexes built from your content, agent memory and cached conversation state, and any content retrieved from connected integrations.
Coverage of that purge is enforced by automated tests that run on every change to the platform, so a new store cannot quietly fall outside it.
What we keep, and why
A small amount of data survives deletion because we are required to keep it or cannot safely remove it:
- Billing and tax records, retained for seven years to meet statutory accounting obligations.
- Security and audit logs recording administrative actions, retained for their stated period so that an account deletion is itself auditable.
- Encrypted backups, until they age out on their normal rotation. Data in a backup is not returned to service, and a restore re-applies the deletion.
- Data that is no longer identifiable, such as aggregate counts that cannot be traced back to a person.

Data held by third parties
Deleting your Outermind data does not delete the original records in the connected service. If you disconnect Zoom, your Zoom recordings and transcripts remain in Zoom; we simply stop holding a copy and stop being able to reach them. To remove the originals, use that provider directly.
